Terms of service
Last updated 30 October 2026
These terms are the agreement between your business (“you”) and Hoop & Ink (“we”, “us”) for using Hoop & Ink. They’re short and in plain English on purpose. By creating an account you agree to them.
1. Who can use Hoop & Ink
Hoop & Ink is a UK business.
Hoop & Ink is for businesses. You must be 18 or over and able to agree to these terms for your business. Consumer protection rules for people buying for personal use don’t apply to these terms.
2. Your account
- Keep your sign-in details safe and tell us straight away if you think someone else has used them.
- The account owner is responsible for the team members they invite and what they do in the account.
- Keep your shop's details (name, email, VAT details) accurate: they appear on your quotes.
3. Price and the free month
- £59 a month plus VAT per shop, with everyone in your shop included.
- You add a card when you start. Nothing is taken for the first 30 days. We email you about 3 days before the first charge.
- If you don't cancel, the first payment is taken when the free month ends, then every month in advance.
- Paddle is our reseller. Your subscription is sold by Paddle.com Market Limited, who take the payment, charge the VAT and send your invoices. Paddle’s own checkout terms apply to the purchase.
- Founding price: if you subscribe while our founding offer is open, you keep £59 plus VAT a month for as long as your subscription runs without a break, even if the list price goes up.
- If we change the price for anyone else, we'll email you at least 30 days before your next payment at the new price, so you can cancel first.
4. Cancelling
Cancel any time in Settings → Plan and billing. Cancel during the free month and you pay nothing. Cancel later and you keep full use until the end of the month you’ve paid for, then your account becomes read-only.
We don’t refund part months, except where the law says we must.
5. If a payment fails or your plan ends
Your account becomes read-only: you can still see and export everything, but you can’t create, change or send anything until you pay again. Paying again restores everything straight away.
We don’t delete your data because a payment failed. If an account stays unpaid for more than 12 months we may email you to ask whether to keep it, and we won’t delete anything without giving you at least 30 days to export it first.
6. Your data
- Your data is yours. You give us permission to store and process it only to run Hoop & Ink for you.
- You can export your customers, quotes, jobs and price tables at any time (CSV, and a Xero invoice file).
- If you close your account and ask us to, we’ll delete your data within 30 days (backups roll over within a further 30 days).
- We may use anonymous, combined figures about how Hoop & Ink is used (for example how many quotes are sent, or which features shops use most) to run and improve it. They never identify you, your shop or your customers.
- Our privacy policy explains what we collect and who helps us run the service.
7. Your customers' data
For the details you keep about your own customers, you’re the controller and we’re your processor. You’re responsible for having a lawful reason to use that data and for telling your customers how you use it. For our part, we will:
- only use it to provide Hoop & Ink to you, following your instructions (what you do in the app counts as your instructions), and to produce the anonymous figures described above;
- make sure everyone who can access it is bound to keep it confidential;
- keep it secure, as described in our privacy policy;
- use only the providers listed in our privacy policy, under contracts that protect it, and tell you before we add a new one (if you object, you can cancel);
- help you answer requests from your customers about their data, and with any data protection checks you have to make;
- tell you without undue delay if a breach affects it;
- delete it or give it back to you when our agreement ends, unless the law requires us to keep it; and
- give you the information you reasonably need to show we're keeping these promises.
8. Using Hoop & Ink properly
Please don’t:
- use it for anything unlawful, or to send spam or messages people haven't asked for;
- upload anything you don't have the right to use, or anything illegal or harmful;
- try to get into other shops' data, test our security without our permission, or overload the service;
- copy, resell or rebuild Hoop & Ink, or share your account with another business.
9. Quotes, prices and approvals
Hoop & Ink works out prices from the price tables and settings you enter. Check every quote before you send it: you’re responsible for the prices you give your customers. When a customer approves a quote or proof we record their name, the time and their IP address as a record, but your contract for the work is between you and your customer.
10. Support
Email support@hoopandink.com. When you ask for help, our team may view your account read-only to see what you see; every visit is listed in Settings → Plan and billing.
11. Keeping the service running
We work to keep Hoop & Ink available and your data backed up, but we can’t promise it will never be interrupted. We’ll keep planned maintenance short and quiet. We improve Hoop & Ink over time; we won’t take away a core feature you rely on without telling you first.
12. Liability
Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else the law doesn’t allow to be limited.
Otherwise, we’re not liable for indirect or consequential loss, or for lost profits, revenue, business or goodwill. Our total liability to you in any 12 months is limited to the amount you paid us in those 12 months.
13. Ending the agreement
You can stop using Hoop & Ink and cancel at any time. We can suspend or close an account if it isn’t paid for, if it’s used unlawfully, or if these terms are seriously broken; where it’s reasonable we’ll warn you first and give you time to put it right and to export your data.
14. Changes to these terms
If we change these terms in a way that matters, we’ll email account owners at least 30 days before. Carrying on using Hoop & Ink after that means you accept them.
15. Law
These terms are governed by the law of England and Wales, and the courts of England and Wales deal with any dispute.
